About the Position

As a staffing assistant at Särnmark, you play an important role in filling in for and scheduling personal assistants during their absence with our clients. We are a team of three people and we are available around the clock. In this role, you will work with scheduling and staffing planning, ensuring that the right personnel with the right skills are in the right place at the right time. You will work closely with our clients, employees, and account managers.

The work involves planning and following up on staffing in the organization and managing changes that arise, for example, during absences or urgent rescheduling. You will have ongoing contact with staff regarding schedules and assignments and ensure that the right qualifications and authorizations match each assignment. The role also includes administrative follow-up such as time reporting, documentation, and system management. Client contact related to planning and coordination is a natural part of the job. If necessary, some recruitment administration may also occur, for example, when the workforce needs to be expanded.

Who Are You?

We are looking for someone with experience in staffing, scheduling, or other administrative coordination, and who is accustomed to working in planning and personnel systems.

You work in a structured and meticulous manner, thrive in a role with many points of contact, and have the ability to handle rapid changes in a calm and solution-oriented way. You express yourself clearly and professionally in both speech and writing.

Employment

This is a permanent part-time position (70-90%) that begins with a 6-month probationary period. The position is based at the headquarters in Stockholm. The role involves some travel to our offices and clients around the country. You will belong to the HR, internal communication, reception, and on-call staffing department.
